Valtiz ("we," "us," or "our") operates the Valtiz email intelligence platform, including our web application at valtiz.com, our Chrome extension, and our Outlook Add-in (collectively, the "Service"). This Privacy Policy explains how we collect, use, and protect your information.

1. Information We Collect

Account Information

When you connect your email account, we collect your name, email address, and OAuth access tokens for Gmail or Microsoft Outlook. We do not store your email password.

Email Data

To provide our AI features, we access your email content including subject lines, message bodies, sender and recipient information, and thread history. Specifically:

We read your sent emails to build a writing style profile that helps our AI draft replies that sound like you.
We read incoming emails you choose to analyze, draft, or summarize within the Service.
We do not read all of your email automatically — access is limited to emails you actively engage with through Valtiz.

Usage Data

We collect information about how you use the Service, including features used, AI credits consumed, and general activity logs. This helps us improve the product and enforce plan limits.

Payment Information

Payment processing is handled by Stripe. We do not store your credit card number, expiration date, or CVV. We only receive a token and basic billing information from Stripe.

2. How We Use Your Information

To provide and operate the Service, including generating AI email drafts, situation analysis, and summaries
To build and maintain your writing style profile
To send you transactional notifications such as reminders and follow-up alerts
To enforce plan limits and process billing
To improve our AI models and product features in aggregate, anonymized form

3. Third-Party AI Providers

Valtiz uses the following third-party AI services to process your email content:

Anthropic (Claude) — used for AI email drafting, situation analysis, and style profile generation. Anthropic's privacy policy is available at anthropic.com/privacy.
OpenAI (GPT-4o-mini) — used for email classification tasks such as lane categorization, date detection, and summarization. OpenAI's privacy policy is available at openai.com/policies/privacy-policy.

Email content sent to these providers is used solely to generate responses for you and is not used to train their models under our enterprise agreements.

4. Data Sharing

We do not sell your personal data or email content to third parties. We share data only in these limited circumstances:

With AI providers (Anthropic, OpenAI) as described above
With Stripe for payment processing
With cloud infrastructure providers (Render, Vercel) that host our Service
If required by law or to protect our legal rights
With your explicit consent

5. Data Retention

We retain your account data and style profile for as long as your account is active. Email content is not permanently stored — it is processed in real time and only the resulting style profile and any knowledge entries you explicitly save are retained. You may request deletion of your data at any time by contacting us.

6. Security

We use industry-standard security measures including encrypted connections (HTTPS/TLS), secure OAuth token storage, and access controls. However, no method of transmission over the internet is 100% secure.

7. Your Rights

Depending on your location, you may have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your data
Withdraw consent for data processing

8. Children's Privacy

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13.
